MTM IT takes your privacy seriously. This page explains, in plain English, what personal information we collect, why we collect it, who we share it with, and the rights you have over it. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect and why
When you send an enquiry or book a repair
Our enquiry and reservation forms ask for your name, email address, phone number, the device you need help with, and a short message. We use this to respond to you, give you a quote, book your repair, and keep a record of the work we've done for you (including your 12-month warranty). The lawful basis is "performance of a contract" — we need these details to provide the service you've asked for.
Form submissions are processed through RepairMinder, the repair-shop management system we use to manage enquiries, bookings and job records. RepairMinder acts as a data processor on our behalf.
When you call, message or email us
If you contact us by phone, WhatsApp, email or social media, we'll hold the contact details and message history we need to deal with your enquiry and any resulting repair.
When you browse this website
- Hosting: this site is hosted on Cloudflare, which processes standard server logs (such as IP addresses) to deliver the site securely and protect it from attacks.
- Analytics: we use Google Analytics to understand how visitors use the site — which pages are popular, roughly where visitors come from, and how they found us. This information is aggregated and doesn't tell us who you are. You can opt out using the Google Analytics opt-out browser add-on.
- Maps: our contact and location pages include an embedded Google Map. Google may set cookies and collect usage data when the map loads — see Google's privacy policy.
Your device and its data during repair
This matters to us as much as it does to you. When you leave a device with us:
- We only access your device to the extent needed to diagnose, repair and test it. We do not browse, copy or share your personal files, photos or messages.
- If you give us a passcode or password so we can test the device, it's used only for that purpose and securely discarded once the job is complete.
- For data recovery work, anything we recover is treated as strictly confidential, handed only to you, and securely deleted from our equipment once you've confirmed you have it.
- We always recommend backing up your device before any repair where possible.
Who we share your information with
We never sell your personal information. We share it only with the services we need to run the business:
- RepairMinder — our repair management system (enquiries, bookings, job and warranty records).
- Cloudflare — website hosting, security and the Turnstile bot check on our forms.
- Google — analytics and embedded maps, as described above.
- Parts suppliers — only details about the device and parts needed, never your personal information.
- Authorities or insurers where we're legally required to do so.
How long we keep it
- Enquiries that don't become a job: deleted within 12 months.
- Repair and job records: kept for the life of your 12-month warranty and then as part of our business records for up to 6 years, as required by HMRC for accounting purposes.
- Passcodes and recovered data: securely removed once the job is complete, as described above.
Cookies
This site keeps cookies to a minimum. We don't use advertising or marketing cookies. The only cookies you may encounter are set by Google Analytics (to distinguish visitors) and by the embedded Google Map on our contact and location pages. Full details are in our Cookie Policy.
Our enquiry forms are protected by Cloudflare Turnstile, a privacy-friendly bot check that confirms you're human without puzzles, tracking cookies or advertising profiles. It processes limited browser signals solely to tell people from bots — see Cloudflare's privacy policy.
Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the personal information we hold about you
- Ask us to correct anything that's inaccurate
- Ask us to delete your information ("right to be forgotten")
- Object to or restrict how we use it
- Receive your information in a portable format

Changes to this policy
If we change how we handle personal information, we'll update this page and the date at the top.
